Adecco is currently assisting a local Nevada City, CA client in their search for an Accounting Assistant who has experience in supporting the company's payroll and accounts receivable billing functions, and who can be responsible for related public works compliance reporting. The Accounting Assistant works under the general supervision of the location manager and supports the Billing and Human Resources Manager as well. Responsibilities for the Accounting Assistant include but are not limited to the following: - Processes payroll within a strict time frame; archives employee time records as submitted; reviews time records and resolves discrepancies to ensure accuracy; applies appropriate pay rates, including prevailing wage, in accordance with State and Federal wage and hour laws; prepares pay adjustments. - Creates initial documents for public works project compliance and contacts clients to determine reporting requirements. - Facilitates the client billing process, prepares, distributes and reviews billing drafts from project managers, and processes and sends invoices to clients. - Protects the company's value by keeping financial information confidential. - Provides assistance with general client billing; prepares billing for Federally-funded projects with specialized invoicing requirements. - Charges expenses to appropriate general ledger accounts and cost centers by analyzing invoice and expense reports. - Manages project setup and enters project information into the accounting system. - Maintains project and client information such as billing rate schedules and labor codes. - Assists with other accounting activities, including assistance to the Billing Administrator. - Temporarily assists with phones (from the Accounting Assistant office, sharing the responsibility with the Technical Editor and Proposal Writer) when the administrative assistant is not at the front desk. Education and Experience: - A minimum three years of experience as a payroll specialist preferred; general knowledge of other accounting functions preferred. - Knowledge of state and federal employment and wage and hour laws preferred. - Experience with Certified Payroll Reporting and Prevailing Wage regulations preferred. - Knowledge of Deltek accounting software preferred. - High school diploma, Associates Degree or equivalent experience, with good math and accounting aptitude. - Proficiency in word processing, spreadsheet, and email/personal information manager programs, Microsoft Office preferred. Knowledge, Skills, and Abilities: - Exhibits a high level of confidentiality in handling sensitive company and employee information. - Reports to work regularly and at the scheduled time, completes work within deadlines, and is conscientious about assignments. - Communicates effectively both verbally and in writing with all levels of staff, as well as individuals outside the Company. - Works effectively and relates well with others, exhibits a professional manner in dealing with others, and strives to maintain constructive working relationships. - Demonstrates strong detail orientation and organizational skills. - Availability to work overtime when needed. Physical and Environmental Factors: - Occasional ability to lift, carry, push and/or pull objects and materials up to 20 pounds. - Able to perform general office administrative activities: copying, filing, and frequent use of a 10-key calculator, telephone, and keyboard. - Able to sit and work at a computer station for extended periods of time. - Intermittently walk, stand, kneel, bend, reach and stoop. - Reasonable accommodation may be made to enable individuals with disabilities to perform the essential job functions.
