Responsibilities for this Accounts Payable Specialist job include, but are not limited to:

  • Lead and manage AP Coordination both at the corporate office and remotely at an outsourced service center
  • Manage full cycle Accounts Payable, including vendor set up, invoice recording and auditing, and payment processing.
  • Review and approve transactions entered by the AP Coordinators
  • Validate invoices against supporting audit work papers and/or documents maintained in other operating systems
  • Review invoices and expense reports for proper GL/department coding and validate proper approval by department head
  • Schedule and process payment to vendors; reconcile outstanding invoices and payments against vendor statements
  • Manage vendor profiles, including banking info and 1099 updates; issue 1099s at year ends
  • Maintain good vendor relations; responding to vendor inquiries and resolve disputes timely
  • Manage and process expense reports; perform credit card reconciliations monthly
  • Lead A/P process improvement projects, including system implementation
  • Collaborate with Controller to implement AP policies and procedures; enforce internal controls.
  • Assist in month end closing activities such as AP accruals, bank reconciliation, and annual audits
  • Ad-hoc projects and reporting as assigned
  • Accurate coding and processing of supplier invoices
  • Monthly reconciliations of supplier statements
  • Correct allocation of supplier costs
  • Accurate and timely entry of petty cash expenses
  • Process and enter invoices on integrated accounting software
  • Verify approval on all invoices and check requests
  • Determine Account Coding for invoices
  •  

    Qualifications for this Accounts Payable Specialist job include:

  • Bachelor’s degree preferred
  • 3+ years Accounts Payable experience
  • Logistics, transportation, or freight industry experience is preferred, but not required
  • Must be highly dependable and detail-oriented with the ability to manage many tasks
  • Qualified candidates will be a team player
  • Proficiency with Microsoft Office Suite (Word, PowerPoint, Outlook, Advanced Excel)
  • P&L or cost center experience preferred
  • Must be organized, dedicated, and possess excellent communication skills
  • Must have a desire to learn, work independently, and possess strong problem-solving skills
  • Ability prioritize and to multi-task in a fast-paced environment
  • Ability to handle confidential information in a discreet, professional manner
  • Eye for detail, accuracy is imperative
  • Knowledge of general accounting principles
  • Able to meet strict deadlines
  • Excellent oral and written communication skills
  • Excellent organizational and analytical skills
  • Ability to be an effective team member and display initiative
  • Ability to prioritize tasks and manage schedule
