Job Title: Administrative Assistant II / Materials Coordinator

Location: Spring, TX 

Start Date: 5/30/2018

Start Date: 08/31/2018

Duration: 3 month Contract 

 

Office, Clerical, administrative:  Ensure optimal timely materials management and transactional excellence.

• Material Coordinator is accountable for optimal material sourcing decisions

o Identify opportunities to consume Business Line Materials and destock inventory (utilize stock on hand)

o Influence B/L to select materials on hand or from preferred vendors

o Utilize proper material code with an agreement supplier

o Utilize proper material code with a non-agreement supplier

o Expedite Materials Arrange hotshots

o Responsible for P2P recycle, identifying root causes, and driving resolutions

o Coordinate for timely material delivery

o Work with BA for timely requisitions on expedited requests

o Master Data MDG requester for master data changes and improvements SME for Master data Maintain Bill of Materials in SAP

o Manage material KPIs

o Facilitate resolution of SAP data issues interfacing with Acquisitions, GIM, and the B/L

o Accountable for material optimization, consumption, and metrics

o Coordinate kitting services (process pending creation) To be worked with the site

• Obtain work schedules • Understand what kits are complete versus not

complete

• Check kit completeness before staging for delivery

• Monitor when all nonstock kit material has arrived and arrange for stock to be picked

• Label kits withPacking List / Returns documents before kits go out

• Manage kitting returns:

O Coordinate Returned Materials, Kits and Repairable spares Evaluate inbound return

kits Work with QA/QC for, fit for purpose verification for stock material Ensure

SAP transactions are completed

o Determine disposition of returned kits and materials For stock

• Coordinate with FLS For non-stock-

• Coordinate with the Vendor Coordinator to facilitate any return to Vendor

• If vendor return is not possible,

O Coordinate with FLS to determine if MOH/stock/open bins is appropriate:

o Coordinate with MMR for surplus sales or scrap for anything that does not fit the criteria above and seek appropriate DOAG approval.

 

SKILLS AND QUALIFICATIONS

•  Excellent verbal and written communication skills, MS Office (Word, Excel and PowerPoint) and email systems, strong administrative coordination abilities, customer service experience

• Strong calendar management and proactive “go getter” attitude

• PRIORITIZE tasks sometimes by the hour

• Ability to multi-task

• Strong Excel, Word & Powerpoint

• Independent thinker – not ask you for every little move of a meeting.

• Ability to network to find answers

• Thick skinned

• Wants to be here and want to do a good job

 

MAIN FUNCTIONS

  • Provides administrative support to a department or individual.
  • Duties may include: typing, filing, answering phones, scheduling, calendaring, record keeping, coordinating meetings and conferences, obtaining supplies and/or
  • sorting/distributing mail. May work on special projects to include recording, compiling, retrieving, reporting and analyzing information. Must be able to multi-task and prioritize.
  • Strong communication skills and organizational skills are required. Proficiency with MS Office required. Position will receive direction and support.
  • This position level would typically include junior Administrative Assistant with basic administrative tasks and experience.
