Specific Duties:
1. Assist primary Building Service Coordinator with completing all daily processing of heavy volume of outgoing mail for bldgs. 4, 7, 9 & 11 which includes specific morning and afternoon drop off and pick up times for the bus ops team to ensure regulatory and compliance requirements are met. This requires multiple stops to each respective building daily.
2. Assist primary Building Service Coordinator with the postage process for weekly check runs which is large volume.
2. Assist Building Service Coordinator with the daily distribution of incoming mail to all respective departments for all buildings (4, 7,9,& 11).Ø
3. Assist Building Service Coordinator with running daily postage jobs for various business units which includes picking up large volume of mail from respective business units, sorting, and running thru Pitney Bowes machine in preparation for courier service afternoon pick up. ie; Clinical, Contracting, Performance Improvement, Quality & Risk Adjustment.
4. Assist with processing orders thru Ariba for all office supplies including bldgs. 4, 7 9 & 11.
5. Assist with inventory to ensure adequate par levels are available
6. Assist with distribution and stocking of supplies for all bldgs. 4, 7, 9 & 11
7. Assist with creating security badges for all new employees which includes scheduling photo session for all new employees who require a badge.
8. Ability to lift up to 50 lbs – involves lifting inventory and stocking – bending and walking
9. Assist reception with various mail tasks, sorting of mail, certified mail process, creating system incidents as back up
10. Assist with answering phone as back up receptionist
11. The primary Building Service Coordinator also supports the call center with answering inbound calls as needed.

7. System friendly; ability to work on multiple systems; excel, word and in house programs.

Shift Start/End Time: 8:00 to 4:30

Dress Code: business casual

This position is responsible to support the primary Building Service Coordinator with performing a wide variety of support duties in a manner which will ensure the proper functioning of the business unit and enhance the productivity and effectiveness of the department. Currently the BSC also supports the Monarch Call Center with answering inbound calls as needed. Therefore this position will support all duties underneath the BSC. The position works under the specific instruction and direction of one or more higher level staff and may provide administrative support to an individual office. Incumbents are regularly responsible for dealing professionally with confidential information while performing several aspects of assigned work. Specific tasks may be primarily assisting with all mail workflow processes that are in place, assist reception, may answer phones as back up, maintain files, and otherwise relieving those supported of minor administrative tasks and business deals. Works under general supervision.
