Title: Administrative Assistant

Location: Spring TX

Shift: 8:00am to 5:00pm

Duration: 11 Months


Scope of work:

  • Prepare internal technical report shipments for scanning vendor
  • Reconcile and refile shipments upon return from vendor
  • Create Tables of Contents for multi-volume technical reports
  • Upload reports with appropriate metadata to SharePoint libraries
  • Add/edit URLs and other metadata in Library catalog
  • Reduce redundant paper copies on shelf


  • Provides administrative support to a department or individual.
  • Duties may include: typing, filing, answering phones, scheduling, calendaring, record keeping, coordinating meetings and conferences, obtaining supplies and/or sorting/distributing mail.
  • May work on special projects to include recording, compiling, retrieving, reporting and analyzing information.
  • Must be able to multi-task and prioritize.
  • Strong communication skills and organizational skills are required.
  • Proficiency with MS Office required.
  • Position will receive direction and support.
  • This position level would typically include junior Administrative Assistant with basic administrative tasks.


  • Excellent verbal and written communication skills, MS Office (Word, Excel and PowerPoint) and email systems, strong administrative coordination abilities, customer service experience
  • Ability to upload, edit, tag, move, apply RMS and delete files in SharePoint libraries
  • Advanced PDF skills (create, edit, OCR, stamps, redaction, archive)
  • Ability to prioritize busy daily workload and still progress special projects; effective time management; ability to shift between projects
  • Effective communication (written, verbal, listening) / interpersonal skills
  • Good computer skills – MS Office and Windows/LAN/SP environments
  • Library experience a plus
  • Ability to apply filing/shelving schema to real world
  • Reliable attendance – 40 hours / 5 day/week job
  • Ability to categorize, organize and manage information
  • Accuracy and attention to details required; ability to proof own work
  • Presentation skills; ability to transfer knowledge effectively
  • Strong customer service orientation; works well as part of a team Physical Requirements
  • Regularly lifting and carrying library materials (up to 30 lbs.) to and from carts and shelving units.
  • Occasionally lifting / carrying boxes that Weigh up to 40 pounds.
  • Reaching, gripping, and retrieving / shelving books from 9"-15" above head of 5'2" individual; standing on stool to reach higher shelves and kneeling / reaching, gripping, and retrieving / shelving books from 2"-5" above ground.
  • Shifting large sections of books on shelves from one area to another; may require carrying stacks of books to other sections; pushing loaded book carts and climbing on stools and library ladders safely
  • Standing (on floor or stool) to read shelves (ensuring that materials are in order) and kneeling to lower shelves for same.
  • Packing, unpacking, and moving boxes of books and materials
  • Viewing computer screen for data entry and proofreading
