Responsibilities, Qualifications, & Details:

JOB SUMMARY: The Administrative Assistant provides exceptional customer service for Hill-Rom’s internal and external customers. The Administrative Assistant in the Clinical Information Services department is the primary contact for hospitals, rehabs, long term acute care and nursing home facilities registering for the annual International Pressure Ulcer Prevalence (IPUP) Survey.
The Administrative Assistant is expected to be the primary point of customer contact and answer basic questions about the IPUP Survey as well as process IPUP Survey registrations. The Administrative Assistant is expected to maintain a motivated, enthusiastic attitude in order to enhance customer satisfaction in a fast-paced and demanding work environment. The Administrative Assistant reports to the Clinical Information Analyst.

• Responsible for creating and maintaining exceptional customer value, employee value, and shareholder value in an environment that is demanding and changing due to customer expectations and needs.
• Answer customers’ basic IPUP Survey questions and provide information on expectations, processes and timelines.
• Responsible for answering incoming customer calls and emails and ensuring that customer inquiries and requests for information are managed in a timely manner with a high level of accuracy, customer service and follow through.
• Responsible for calling and emailing customers to obtain registration information.
• Identify issues and proactively initiate solutions, or elevate request(s) to Information Analysts for timely resolution.
• Work with CIS team members and Clinical Outcomes Managers on specific issues involving customers through to the resolution of those issues.
• Perform data input (web based, Access, Excel, etc) and manage departmental filing as needed.
• Assemble survey supplies for packaging and mailing.
• Must maintain daily and weekly individual and team metrics.

• High school diploma or GED required
• Comfortable with the Microsoft Office Suite of products including Word, Excel, Access and Outlook
• Ability to communicate effectively via phone and email with internal and external customers
• Strong written and verbal communication skills required
• Strong organizational skills required
• High attention to detail required
• Ability to multi-task in a busy, fast-paced work environment
• An individual contributor who can work effectively in a team environment
• Exhibit a professional attitude and appearance
