Title: Administrative Assistant
Pay: $18 Hourly
Duration:12 months PART TIME (3 days aweek 8:30a to 4:30p)
Location: Chicago, IL




Summary:
Overview of business area or project: The main function of the administrative assistant role is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions.

Key Responsibilities:
• Perform general office support duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
• Prepare invoices, reports, memos, letters, financial statements, and other documents.
• File and retrieve corporate documents, records, and reports.
• Open, sort and distribute incoming correspondence, including faxes and emails.
• Prepare responses to correspondence containing routing inquiries.
• Book travel for Trading desk and Sales team
• Assist with the administrative duties for analyst marketing including booking cars, catering, and confirming meetings.
• Sort and organize travel/entertainment expenses for trading desk and sales team.

Overview of department/team: Will be supporting 3 sales traders, 4 members of Research Sales, and Marketing Coordinator


Essential skills and qualifications:
• Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
• Ability to work independently and manage one’s time.
• Ability to keep information organized and confidential.
• Previous experience with computer applications, such as Microsoft Word, Excel and Microsoft Suite.

Years of Experience suggested:
• 0-2 years experience required.
