Responsibilities for the Administrative Assistant job include but are not limited to:

  • Assist with the planning, coordinating and scheduling of various services and on/off site meetings.
  • Screen and respond to phone calls, faxes and e-mails.
  • Assist with setting up new vendors and preparing, tracking and coding purchase orders and accounts payables invoices.
  • Serves as the company’s point of contact for various third- party services.
  • Partner and network with other company administrative assistants in order to obtain information needed for the completion of tasks and the resolution of problems.
  • Assist with the handling of incoming mail; maintain and update office / store phone lists.
  • Ensure that processes related to department day-to-day activities, invoicing, reporting and overall work flow remain uninterrupted.
  • Assist with creating presentations, organizing travel plans and processing expense reports.
  • Serve as a backup for the front desk.
  • Collaborate and participate in any special projects or requests as directed.
  • Uphold and enforce all company policies.
  • Must be able to perform the essential functions of this position with or without reasonable accommodation.
 

Candidates must meet the following requirements to be considered for the Administrative Assistant job:

  • 1 year of supporting one or more executives.
  • Advanced Microsoft Office skills (Word, Excel, Access, PowerPoint, Outlook).
  • Strong attention to detail.
  • Team player with strong organizational skills.
  • Strong written and verbal communications skills.
  • Excellent time management.
