Pay Rate: $20 - $25.00 per hour / Adecco W2 only

Administrative Assistant - Marketing and Event Support
Position Description

Purpose
The Administrative Assistant’s primary responsibilities are to support the Head of Environmental Science North America, the Marketing Communications team (various projects and miscellaneous requests, ensuring a well-organized and successful team) and provide event planning support (planning, design, and implementation). Included are also the responsibilities of the agency billing process, financial reporting and analysis, and organization and preparation of copy claims.


Major Tasks and Responsibilities of Position
• Coordinate with the Head of Marketing, the Marketing Communications Managers, Procurement, Finance and vendors/agencies in the development and implementation of efficient financial billing, payment and tracking processes.

• Prepare and develop monthly financial reports through SAP to maintain and track spending and budgets. Analyze variances and provide explanations to Marketing Communications Team.

• Work with the Head of Marketing to develop and implement an effective internal review and approval process for all marketing materials within Copy Claims. Coordinate the routing process and ensure that all materials are reviewed / approved by Marketing, Legal, Technical and Regulatory in a timely manner.

• Provide day to day administrative support to the Head of ES North America and Head of Marketing. Provide support on various projects to the the Heads of Marketing Brand and Product Managers for the T&O, PPM, and VM businesses.

• Support event planning and coordination by helping to organize key meetings including planning, design, and implementation.

• Manage the ES NA Marketing SharePoint Site and coordinate content with internal partners in North America and Global counterparts.

• Coordinate internal Marketing meetings, establish meeting minutes and documentation and maintain a list of action items to improve follow up and implementation.

• Build an effective and cooperative relationship with internal partners and vendors.

• Provide occasional support to fellow administrators issuing purchase orders, processing invoices and preparing payments through Bayer’s business systems as well as monitoring contracts, fees, estimates and invoices for consistency and compliance.

• Provide occasional support to fellow administrators in administering the contract management process by incorporating agency and vendor contracts into the EFILIA database and monitoring termination dates to maintain accuracy of the database.

Value Add (main objectives of the function)
• Track and follow up of copy claims in order to insure that reviews and comments are being completed in a timely manner

• Implement, coordinate, and maintain consistency and conformity of new and existing marketing processes and procedures to remain in compliance with Bayer’s guidelines

• Assist the marketing team in presentations, spreadsheets, events, and other administrative support as necessary

• Assist fellow administrators with the Marketing Communications Team’s pre-billing summary process to insure that the agency/vendor billing is progressing in a timely and efficient manner and that Billing Summaries are reviewed and processed accordingly

• Provide occasional guidance, direction and problem resolution to agencies and vendors in respect to billing and payments

Work Relations
• Must have excellent communication skills with internal employees
• Must also have strong communication skills with external relevant agencies and vendors
• The position reports the Head of ES North America, with a functional alignment with the Head of Marketing NA and Marketing Communications

Qualifications
• 5 + years in office work experience & college degree preferred
• Experience in working with financial and budget reports in SAP, BW and Excel
• Excellent communication skills internally and externally
• 2+ years’ experience maintaining business systems (i.e. accounting or business software, budget planning tools, expense reports, etc.)
• Strong attention to detail and organization skills
• Strong team player with ability to multi-task, prioritize and network with many internal functions and external vendors
• Efficient in Microsoft software (including SharePoint)
• Efficient in SAP
• Able to work independently with minimal supervision
