Administrative Assistant I

Responsibilities for this Admin Assistant job include, but are not limited to:

• Prepares & types simple memos, emails, routine correspondence, etc.
• Enters information into spreadsheets & databases
• Maintains inventory & orders supplies
• Processes expenses including travel reimbursement, invoice payments, etc.
• Completes registration & travel arrangements for various members of the department
• Schedules meetings & coordinates logistics including securing meeting rooms at participating sites, identifying AV/technology support, distributing meeting content, etc.
• Greets visitors, interview candidates, responds to inquiries, requests & provides routine information to security for onsite visits
• Organizes employee engagement/recognition activities & events
• Answers phones, routes callers, takes messages
• Contacts facilities for routine on-site maintenance requests & IT for on-site hardware needs
• Completes additional ad-hoc administrative responsibilities not explicitly defined, as needed

Minimum Experience
• High school Diploma required
• 2-3 years of administrative support, customer service, or other relevant experience required

Required Skills
• Knowledge of Word, Excel, PowerPoint & Outlook, Skype
Examples of skill level:
WORD - creating a new document, using auto correct, setting tab stops, inserting graphics
EXCEL - formatting numbers & text, using simple formulas (SUM, AVERAGE), changing column width & row height
POWERPOINT - creating new presentation, changing bullet styles, formatting shapes, inserting graphics
OUTLOOK - creating, formatting & sending a message, using the To-Do bar, resending a message, setting out of office rules, scheduling meetings, checking availability via Scheduling Assistant
SKYPE - utilizing Skype Meetings for conference calling, adding dial-in to meeting invites, muting participants, recording Skype meetings
