POSITION: Administrative Assistant
DURATION: 5 months *Possibility of extension*
PAY: $13.00/HR (40 hours per week)


Manage all administrative needs of the Optimization and Modeling (O&M) Section Head and the Section Members. Position will receive direction and support. Duties may include:
• Provide diverse administrative support which includes maintaining smooth operation of the office and coordinating
staff schedules and calendars
• Schedule meetings, catering, travel, conferences and other events (both internal and external) and ensuring that you are following the company’s guidelines for each of these activities
• Provide Ergonomic support to the
O&M Team to ensure the team is working safely in the office environment
• Onboard new O&M Members and assist with those exiting to a new assignment
• Receive guests, handle O&M mail, screen and direct calls for O&M Section Head, and maintain both electronic and hard copy files utilizing a filing system
• Design and generate reports, presentations and miscellaneous correspondence as required
• Assist with invoicing related to purchases, conferences, events and catering following company guidelines
• Prepare, submit and track expense reports
• Order office supplies, business cards and stationary as needed
• Process monthly payroll exceptions for O&M Section
• Assist with the processing of monthly time reporting for O&M Section
• Other administrative duties as assigned
• Typing, filing, answering phones, scheduling, calendaring, record keeping, coordinating meetings and conferences, budgeting, obtaining supplies and/or sorting/distributing mail. May work on special projects to include recording, compiling, retrieving, reporting and analyzing information
• Must be able to multi-task and prioritize
• Provide back-up administrative coverage within the Optimization Division administrative staff
• Other administrative duties as assigned

• MS Office (Outlook, SharePoint, Word, Excel and PowerPoint), strong administrative coordination abilities, customer service experience
• Strong communication skills, both written and verbal
• Problem solving, negotiating and conflict management skills
• Accuracy, efficiency, professionalism and discretion must be exercised
• Prior ExxonMobil experience or relevant oil & gas industry experience is preferred
• Knowledge of the terms and vocabulary of the industry is preferred

Skills and Qualifications:

Excellent verbal and written communication skills,
MS Office (Word, Excel and PowerPoint) and email systems,
Strong administrative coordination abilities,
Customer service experience

Specific Job Requirements/Skills:

• Experience providing administrative support to senior level leaders and large teams
• Solid background managing diverse and time-sensitive information with competing priorities required
• Excellent oral and written communication skills a must
• Organizational skills and attention to detail are required to effectively perform essential duties
• Ability to manage competing priorities with minimal supervision and follow through on tasks to ensure completion
• Strong sense of urgency and ability to handle confidentiality a must
• Proficiency using MS Windows-based software (Outlook, SharePoint, PowerPoint, Word, and Excel) and the Intranet/Internet is required
• High level of comfort with technology and the ability to catch on and learn new applications and tools
• Team player and ability to build your own network and positive rapport with others
