Adecco is currently assisting a local client in Irvine, CA to source for an Administrative Assistant. This company is an architecture firm and some Executive Assistant duties will also be needed. If you believe you meet the qualifications listed below, Apply Now! 

 

Working under general supervision of the Director of Operations, the Administrative Assistant is responsible for performing administrative duties for executive management. Responsibilities may include contract administration and drafting; screening calls; managing calendars; making travel, meeting and event arrangements; preparing reports and financial data; and customer relations

 

Job Duties:

  • Schedule and maintain calendar of appointments for Executives ensuring their preparation and timeliness to meetings, appointments, events, functions, etc.
  • Book domestic and international travel for Executives and staff.
  • Provide reception desk coverage by screening telephone calls and visitors and resolving routine and sometimes complex inquiries.
  • Write, edit and proofread internal and external correspondence; proactively communicate and coordinate activities and communication with clients, consultants and staff members.
  • Assist with confidential work projects which at times may require some analysis and report preparation.
  • Provide support to the Legal Department formatting and reviewing correspondence and contacts as needed (min of 12 hours per week).
  • Compose routine correspondence, memoranda, and reports.
  • Assist with other administrative duties as needed.
  • Coordinate with other firm disciplines including marketing and business services including support to the Accounting Department (apx 3-5 hours per week).

Requirements:

  • 3-5 years of direct support to executives
  • Must have advanced level of efficiency with Word, Excel, PowerPoint, and Outlook; Adobe Suite is a plus
  • Previous experience in an architectural, engineering and/or construction (A/E/C) firm preferred
  • Ability to use internal and cloud databases (SharePoint a plus)
  • Ability to compose correspondence with speed and accuracy
  • Strong administrative assistant background
  • Ability to follow direction and deliver results in a timely manner
  • Excellent verbal and written communication
  • Must be extremely detail oriented and well organized
  • Ability to maintain a professional and upbeat demeanor
