Job Summary: The Administrative Assistant serves as the primary administrative support to the Project Director, Office Manager, and Vocational Counselors. Must be able to operate transcriber machine, This position provides administrative and clerical support in a variety of areas including, but not limited to: All case entries, case count on daily, weekly, and monthly basis, creating files, typing all letters and reports from transcription device, filing, and maintaining file room and storage areas, copying cases, all mailing duties, answering telephones and directing telephone calls, preparing monthly invoices, and providing Disability Advocacy Program (DAP) Staff assistance when needed.

Reports to: Office Manager

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The individual must possess excellent typing, filing, telephone, computer skills, and communication skills. Must be able to operate transcriber machine, calculator, copy machine, and facsimile. Must be able to perform in a fast-paced environment with the ability for multi-tasking and accuracy.

Education: High School Diploma and five years clerical experience, experience with medical terminology, typing medical reports, and/or Social Security Rules and Regulations preferred. Computer knowledge is a must.

Work Requirements: First shift 8:30 – 4:30 pm. This position involves heavy typing. Excellent typing skills are paramount (minimum 60 wpm required). The typing involves medical transcription and interpretation through recorded dictation/headphones and completing reports. Must be proficient in Microsoft Word & Excel. Individual must have the ability to stand and work or have mobility through mechanical assistance. Must be able to lift and carry items weighing up to twenty pounds. Primarily sedentary/light work, which requires stooping, bending, reaching, hearing, stretching, and vision (with or without assistive devices) to operate phone, computer, facsimile, and transcriber machine. Complete other duties as assigned by Project Director and Office Manager.
