Position Summary: 
Administrative support for an Associate Vice President, 4 Directors in the Training and Development group. All 4 Directors maintain extremely busy schedules and have frequent Executive level contact, requiring a highly professional administrative assistant. 
 

Responsibilities, Qualifications, & Details:

  • Responsible for updating internal department budget system as well as tracking of invoices for timely payment. 
  • Arranges complex travel for five team members. 
  • Conducts routine correspondence, primarily by email, in a concise, grammatically correct and error-free manner. 
  • Arranges frequent and complex internal and external meetings and teleconferences and sends invites through the Outlook Calendar. 
  • Uses good judgment in interactions with others. Enjoys working in a fast paced ever changing environment. 
  • Supports Training Coordinator to ensure all training programs are ready. 
  • Collaborates with key facilities personnel and Training Coordinator to ensure all training rooms are set up and ready to go for each class. 
  • Approaches responsibilities with a positive, team-oriented, proactive attitude and is eager to learn and develop in the position. 
  • Communicates effectively and appropriately, in both a written and verbal manner, within Allergan and with external companies. 
  • Prioritizes tasks among four Directors in a highly cross functional work environment. 
  • Keeps Directors’ contacts updated in Outlook. 
  • Prepares and distributes meeting reports and expense reports 
  • Maintains filing system for managers and works with others in the department to coordinate the filing system, both for paper and electronic files. 
  • Adheres to the file retention policy of the company as a whole and the department in particular. 
  • Provides coverage for other administrative assistants as necessary and works cooperatively with the entire Global Commercial Assessment team. 
  • Adheres to corporate and department SOPs and policies. 

 

Minimum Requirements

 

  • Thorough knowledge of and experience with Microsoft Office applications, including Outlook, Word, Excel, Skype, WebEx and PowerPoint. Experience with expense and attendance reporting systems. 
  • Excellent oral and written communication skills; positive, can-do personality traits. 
  • Proven ability to interact successfully with all levels within a corporate environment; sound judgement and proven team player. 
  • Ability to provide solutions to problems/issues identified on the job. 
  • Ability to manage multiple tasks and priorities simultaneously; demonstrated willingness to adapt to a rapidly changing healthcare environment which may call for changing skills. 
  • At least three (3) years administrative support or related experience; experience in pharmaceuticals or healthcare industry a positive. 
  • High School Diploma or GED required; College Degree a plus
