Essential Duties and Responsibilities:

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include, providing support to our LA Project Management Team assisting in daily office needs and managing our company’s general administrative activities.

  • Main responsibilities will include Outlook calendar management, preparation of materials for prospect meetings, travel, expenses, and phone management.
  • Assist in scheduling meetings and other general administrative duties as requested.
  • General administrative duties including writing and editing correspondence, answering phones, contact data maintenance, filing and processing expense reports.
  • Handle all corporate travel (flights, hotels, car services), cater lunch meetings and any other manage corporate hotel rates.
  • Work with and manage highly sensitive and confidential information with discretion for the entire LA office.
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Contributes to team effort by accomplishing related results as needed.
  • Perform related duties as assigned.

 

Education and/or Work Experience Requirements:

  • AA/AS required; BA/BS highly preferred.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Excellent computer proficiency (MS Office – Word, Excel, PowerPoint and Outlook.)
