Administrative Assistant

Adecco is currently seeking an Administrative Assistant to be based out of Morris Plains, NJ .  

Job Responsibilities:

  • Provide general administrative support for Human Resources department. 
  • Enters information into HR System (Success Factors) to process new hires, terminations, tuition reimbursements, employee referral fees and vacation payouts.  Ensures information is accurately inputted and on time to ensure accuracy and meet required payroll deadlines.
  • Prepares and distributes new hire welcome packages and onboarding materials for new hires.
  • Participates in new hire onboarding process and day 1 Welcome for new hires.
  • Facilitates I-9 review and background review process. Ensures required documentation is on hand and completed and enters/verifies information in applicable systems.
  • Facilitates assigned recruitment activities. Facilitates resumes, arranges interviews for hiring managers, and follows up on required action items.
  • Maintains employee files (e-files) and ensures compliance for all required documentation.
  • Completes required documentation needed for visa applications for Legal and employees. Tracks status and open items.
  • Responds to basic level HR inquiries from staff.  Fields to HR Business Partner as appropriate
  • Provides day to day support to HR office - Assists in scheduling assigned meetings, coordinating special events, ordering relevant materials/catering and other administrative activities as assigned.
  • Creates exit packages and schedule exit interviews for HR
  • Prepare assigned spreadsheets and documentation for HR as required.  Maintains HR scorecard
  • Verify concur users and cost center information for IT for employee changes/updates.

Qualifications and Skills

  • Bachelor’s degree in HR or Business or pending, OR equivalent experience
  • Minimum 1 to 3 years experience in HR or relevant internship or education.
  • Commitment to providing the highest level of customer service and administrative support.
  • Highly organized, great attention to detail
  • Strong communication skills and a can-do attitude
  • Ability to handle confidential materials
  • Strong follow through and ability to build relationships throughout the organization
  • Strong computer skills (MS office)
  • Ability to work autonomously, as well as in a team environment
