Overview:
Seeking an experienced administrative professional to supporting 2 senior level executives.

Responsibilities:

Heavy calendar management
Answer multiple phone lines and track messages
Provide support to guests
Domestic and international air and ground travel, and accommodations
Event coordination; Maintains efficient files for follow-up and future affairs
Organize and maintain documents (i.e. contracts, leases, brochures, tenant information)
Prepares and processes expense reports in a timely manner
Keep inventory and order office supplies
Liaise and work collaboratively with other Leasing personnel and Assistants
Ability to anticipate calendar conflicts, and manage scheduling across separate offices and meeting sites
Point person for new hires/consultants technology setup for team members
Presentation preparation, i.e. printing and set up
Special projects as assigned


Qualifications:

Minimum of 2+ years of strong executive level administrative experience
Experience working with high level executives and their administrative teams


Excellent verbal and written communications skills
Strong multi-tasking capabilities and time management, excellent organizational skills
Must be a team player
Strong knowledge of Microsoft Outlook; working knowledge of MS Word, Excel, PowerPoint. MS Visio and Adobe Acrobat are a plus.
Comfortable in a fast-paced environment
Proactive and able to manage multiple tasks at once
Bachelor’s degree required
