Provides support to the SW&A Presidents Executive Assistant (EA) and is responsible for managing the Presidents and executive team administrative needs to ensure his/her time is effectively allocated and that he/she has the information and materials needed to advance priorities.

The Administrative Assistant provides comprehensive range of support services assisting the Executive Assistant to the Executive Team:

70% Calendar, Travel & Expense Management
• Work in tandem with EA to schedule meetings and meeting requests.
• Travel planning and coordination
• Itinerary Creation
• Prepare weekly expense reports (American Express/Concur)
• Invoice and purchase order management (SAP)
10% Social Media
• Ideas for posting in internal Social Media: Chatter
10% Offsite meeting research/planning
• Plan retreats, off-sites, meetings, and other department-related projects and events.
• Plan & Organize team building activities for the teams rolling up to the executive, organize site visits, annual retreats and other internal activities and meetings
• Obtain competitive pricing.
10% Logistical and Administrative Support
• Primary assistance to Presidents Executive Assistant.
• Formatting PowerPoint presentations
• Coordinates meetings
• Interacting with senior leadership team members and their support staff.
Education, Experience, & Skills Required:
• Associates Degree preferred or commensurate experience in an Administrative role required
• Strong written and verbal communications skills
• Strong project management skills preferred
• Ability to work well in a team environment across geographies
• Proficient in Microsoft Outlook, Word, Excel, PowerPoint, Outlook, and the Internet
• Proven ability to independently manage many changing tasks simultaneously
• Ability to manage own and leaders’ priorities with minimal guidance
• Demonstrates superior conference call and meeting etiquette
• Builds and maintains excellent relationships with internal and external stakeholders
• Maintains punctual, regular and predictable attendance
• Works collaboratively in a team environment with a spirit of cooperation and as a relationship builder
• Displays engaging interpersonal skills including the ability to think and act strategically, provide sound judgment, and provide a positive and energetic attitude
• Provides systematic and dependable follow up, as well as a high level of organization and preparedness
