Administrative Assistant

Adecco is hiring an Administrative Assistant for a higher education institution in Nutley, NJ. This is a temporary opportunity to work in the Office of Medical Education at the School of Medicine. The Administrative Assistant will work closely with staff members of the Office of Medical Education, faculty members, and students. 

Responsibilities:

  • Provide general administrative and clerical support 
  • Preparation of memos, letters, and reports as assigned
  • Maintain calendars of the staff of the OME
  • Coordinate visits to the OME by external individuals, including meeting scheduling, assistance in travel and parking
  • Set up in-person and conference call meetings, as requested, including recording and archiving of notes, generation of handouts, arranging for food and beverage as needed
  • Planning and coordination of events and meetings sponsored by the OME
  • Assure compliance with university policies and procedures with respect to travel arrangements, timecard approval, purchasing, expense reimbursement
  • Generate purchase orders and expense reimbursements 
  • Telephone, electronic, and in-person communication with various types of individuals, including clinicians, faculty, staff, students and School of Medicine, University, and Health System leaders and their staffs
  • Other duties as assigned
Required Qualifications
  • ¿    Excellent interpersonal, oral and written communication skills
  • ¿    Competency with various software packages (Microsoft Office, Google Docs, Doodle)
  • ¿    Ability and willingness to learn new software applications 
  • ¿    Highly organized 
  • ¿    Consistently demonstrated good judgement, decision-making capability, problem-solving skills and attention to detail
  • Ability to strategically manage evolving priorities and work in fast-paced environment
  • Demonstrated ability to work both independently and as part of a team to achieve shared goals
  • High School diploma or equivalent
  •  At least two years prior experience working as an administrative assistant with similar job responsibilities to those described above
Preferred Qualifications
  • Experience working in a higher education institution, ideally having addressed student questions and issues directly with students and/or faculty or staff
  • Familiarity with educational/business software, including SharePoint, learning management systems, curriculum management systems
