Position Summary
The position will operate main phone system to answer incoming calls; will direct callers to appropriate personnel, complete’ a variety of administrative duties, as well as, serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system by performing the following functions.
Essential Job Functions and Responsibilities

Responsible for adherence to company policies including safety and the use of personal protective equipment.
Answers incoming telephone calls, determines purpose of calls, and forward calls to appropriate personnel or department.
Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
Answers questions about organization and provides callers with address, directions, and other information.
Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
Maintains security by following procedures; monitoring logbook; issuing visitor badges.
Maintains Office Supply storage and orders weekly office supplies.
Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
Maintains general office supplies for accounting department.
Performs other clerical duties such as filing, photocopying, and collating.
Regular and predictable attendance is essential in this role.
Works on special projects as assigned.


Opening/Closing Responsibilities

Responsible for opening and closing procedures between the hours of 8 AM and 5 PM.
Collects and delivers company mail from Post Office and distributes to appropriate parties.
Retrieves messages from voice mail and corporate faxes and forwards to appropriate personnel.
Ensure kitchen appliances and equipment are turned off and wiped down end of day.
Closes and locks all doors in main corporate building.
Turn off lights and electronics in front lobby.


Education and Experience
High School Diploma and two-year Associates Degree in customer service and/or administrative support is preferred. Two-four years of experience in a similar position.
Excels in a deadline oriented environment and demonstrates a high level of competence in organizing and prioritizing multiple work assignments.

Excellent oral and written communication skills; able to generate and make decisions as needed: creative problem solving; strong service orientation; strong interpersonal skills and ability to influence; ability to work independently and as part of a team.

Physical Requirements

This position includes continuous talking, hearing, and frequent sitting in front of a computer. The employee is often required to sit and use their hands and fingers, to handle or feel and to manipulate keys on a keyboard. Occasionally this position will require employee to stand, walk, and reach with arms and hand. Vision abilities required by this job include close vision. Ability to lift 30 lbs. as needed.
