Performs daily tasks associated with the reception area to include answering incoming telephone calls, greeting and coordinating visitors, and taking delivery of packages. Handles incoming/outgoing mail, orders office supplies and other miscellaneous administrative tasks for HR and the company in general.

Answers incoming telephone calls Immediate response to phone calls; directed efficiently and timely to appropriate party.

Greets visitors and informs employees of arrival. Professional and warm greeting rendering quick announcement to appropriate party.

Monitors incoming faxes and distributes as necessary Immediate processing and delivery of incoming faxes to appropriate party

Process incoming/outgoing U.S. mail Timely distribution of incoming mail and outgoing mail. Sufficient postage available at all times.

Supply closet maintenance and order office and janitorial supplies as needed. Orders business cards. Supplies maintained orderly and neatly, appropriate inventory levels maintained and available. Weekly orders are processed routinely. Timely ordering of new orders and reorders.

Manage Concur expense reporting Accurate and weekly input

Maintains birthday list for periodic celebrations Good morale and continuity

Maintains key log cabinet Keys are logged in and signed out as necessary

Handles travel arrangements including airlines, hotels, shuttles, and rental cars. Purchases travel insurance requests. Accommodates travel arrangements as required in a timely manner as requested. Maintains excellent retrieval records and available resources.

Maintains timekeeping records for all employees Tracked weekly and accurately
Tracks use of company vehicle Maintains log of users
Process new hires via e-Verify Registered on employee's first day of employment
Schedule meetings Advance and timely planning to ensure attendance
Coordinate catering for business meals and lunches Order lunches/ breakfasts for timely delivery, set up and assist with the clean up as necessary

Contact person to handle facilities and landlord requests Timely requests and followup as necessary to ensure facilities are in order
Work Instructions (WI's) for job related duties Completed WI's for duties and updated as necessary
All other duties as assigned. Cooperates by completing other clerical and/or administrative matters within assigned timeframes.
