Job Summary: The Administrative Assistant will primarily handle all ancillary office duties including but not limited to telephone coverage, mail distribution, customer service, assisting Accounts Receivable/Payable representative as well as small project management.

Duties & Responsibilities (in no specific order of importance):

� First line telephone coverage
� Customer Service Representative assistance
o File maintenance
o Maintain Customer specific systems � Website data entry
o Customer Requests / Response
o Customer pricing research/ cost research
� Purchasing assistance
o Supplier / Vendor order maintenance � �Check-Ups�
� Accounts Payable / Receivable assistance
o Mail / e-mail / fax Invoices and statements to customers
o Respond to receivables / payables related questions
o Customer file creation / maintenance
� FAA / Chief Inspector Assistance
o Manual Creation / Maintenance
o Non-Employee related project tracking / project maintenance
� Systematic customer / vendor maintenance
� Process incoming and outgoing mail
� Customer hold shelf maintenance
� Special Projects / Research
� Coordinate trade show travel and logistics
o Shipment of trade booth and display parts
o Book flights & accommodations for attending employees
� Must be able to work with people from all levels in the organization
� All other duties as assigned


� Excellent verbal and written communication skills
� Ability to maintain strict confidentiality regarding department and company information
� Superior organizational and time management skills
� In-depth knowledge of Microsoft Office programs including Outlook, Excel and Word
� Enterprise Resource Planning (ERP) process knowledge a plus
� Ability to be punctual and work in fast-pace environment
� High school diploma or equivalent required, associate degree or higher preferred
� Four years plus of working in a similar role
