Adecco is currently assisting a local client in their search to fill an exciting Contract, Administrative Assistant - Vendor Projects role in Chandler, AZ. Apply now if you meet the qualifications listed below!

Duration: 12 months
Pay Rate: $19.85 per hour



Purpose: To provide project and administrative support to the Vendor Management and Vendor Relationship teams along with Company business partner, and to document and improve the current process, while still completing the day-to-day admin work.

Responsibilities – Business Partner Support:

Single point of contact for Business Partners for the coordination of Company system accesses for business partner staff from initial access requests, staff status changes and access termination.
Manage business partner staff rosters as they relate to the Company project. This includes roster management, updates and changes for WFM, QA, Debt Management and STARs IQ teams.
Provide business partner staff data to ensure accurate reporting for Company business partners.
Expedite and work towards resolution when the V.P.A. requires assistance or is unable to resolve.
Streamline the Vendor ID and access process to make it a less manual process and increase efficiency.


Responsibilities – Administrative Support:

Manage group calendar for the Vendor Project Team including but not limited to team, business partner meetings and visits and Quarterly Business Reviews.
Staff meeting management: includes agenda management, scribe, and distribution of meeting meetings along with coordination and follow-up of action items
Invoice and budget tracking to support PO management for Vendor Project Administration.
Provide back up support for the billing reconciliation process.
Participate in data collection exercises to support departmental audit responsibilities.
Document and update processes as business needs change.


Additional Notes:
Needs to know v-lookups and pivot tables in Excel

In terms of having financial experience, just needs to understand what a debit/credit is
All about building and maintaining relationships with vendors and TFS
Sets up calendar invites, meetings, takes notes, etc. for the VPA Team of 8 (3 managers)
Invoice and budget tracking: audit invoices: Is everything charged properly? Collects data and matches it (is it the same as data received? Are the fields correct?
Needs to be tech-savvy: needs to be able to pick up and learn proprietary Toyota and vendor systems


Requirements:

Must Haves:

Project Management Certification (executive PMP highly preferred) MUST HAVE,
Self-starter, works with little direction, takes initiative


Intermediate to Advanced skills in Microsoft Outlook, Excel, Word and PowerPoint
Analytical aptitude
Attention to detail
Ability to work independently and as a member of a team
Change management
Customer focused
Ability to manage up
Effective communication skills with multiple levels within the organization
Sense of urgency and responsiveness
Some financial experience
Strong organizational skills
Ability to look for ways to improve current processes to increase customer satisfaction, increase productivity and reduce OPEX


Ability to establish consistency in processes, creating trust and confidence with our business partner
Able to maintain professional and cohesive administrative management, enabling the vendor project team to create professional and collaborative presence to our business partners
Able to provide consistent and timely information to other departments, enabling our business partners to meet or achieve goals set forth by the Company
Provide daily, the VPAs and Vendor Relationship Managers, the ability to focus on effective vendor performance management by eliminating administrative burdens (i.e. ID management, audit controls, data collection, and roster management)
Strong data collection and analysis skills that are required by formal audit procedures.
Technical aptitude that requires a comfort level navigating through various individual systems.
High School Diploma

Nice to Have:
Kaizen certification
