POSITION: Sr. Administrative Assistant
LOCATION: Whippany, NJ (Zip 07981)
DURATION: 12+ Months
PAY RATE: Negotiable
HOURS: 40 hrs per week

The US Medical Writing and Statistics Oncology group consists of a group of statisticians, statistical analysts and medical writers in the Oncology therapeutic area applying the expertise of Statistics ,data analytics and reporting to support the development of new drugs, the approval of new drugs by health and reimbursement authorities, and the life-cycle management of marketed drugs according to the major tasks and responsibilities as defined for the position within the group.

Administrative Assistant will provide support within this team and will be asked to perform the duties listed below.

The primary responsibilities of this role are to schedule meetings and workshops in MS Outlook and resolve any scheduling conflicts
-Ensure room availability and checks all meetings for proper equipment, resources, food services when required and online set-up.
-Assemble and analyze information for preparing standard reports and manuals for the department.
-Draft agendas and other important department communications.
-Manage business travel arrangements and expenses when required.
-Coordinate ordering of team office supplies and resources.
-Support scheduling of department interviews and office moves.
-Complete administrative needs of new employee onboarding including aligning with recruiting and HR for scheduling training for new employee. Arrange department team building and off-site activities in alignment with management and HR.
-Screen and re-direct calls and or take messages when necessary.
-Process purchase orders and expenses when necessary for department.
- Interface with other assistants to ensure cross department alignment.
-Create strong awareness of network and organization to support communication flows across departments.


Education Requirement:
-HS Diploma or Equivalent with minimum of two year’s relevant work experience or an Associate’s degree with minimal relevant experience.

Skills & Competency Requirements
-Proficient in Word, Excel, PowerPoint, Outlook, SharePoint.
-Ability to manage multiple competing tasks and activities based on management priority.
-Demonstrate interpersonal, time management and organization skills.
-Possess strong verbal and written communication skills that allow him/her to effectively work with senior level executives and multi-functional team members at all levels both within and outside the company;
-Strong collaboration skills and have exhibited credible process management capabilities
