Position Summary

This role primarily manages all duties associated with the executive reception desk in the San Francisco office. The Executive Receptionist will operate a multi-line telephone, take messages and deliver as appropriate, receive and direct internal and external guests, manage the reception area, all conference rooms, kitchen, supply and copy areas, ordering and maintaining inventory of office supplies, and completing projects or assisting with overflow as directed by Executive Assistants. In addition, the position will manage the use of technical equipment, set up and working with caterers.

Once primary responsibilities are mastered, this role can take on the following: assist with providing administrative and clerical support for department managers and/ or staff. May prepare and sort mail, perform word-processing assignments, proofread, and research and compile special reports. May operate automated office equipment and utilize software. Assists in the preparation of reports, graphs, and presentations using spreadsheet, graphic software, and/ or database applications. Acts as an information source on organization policies and procedures. Makes appointments and travel arrangements. May assist in establishing office policies and procedures, and coordinates special projects and department activities. May be assigned in various functional areas of the company. Works on assignments that are routine in nature where limited judgment is required. Normally receives detailed instructions on all work.



Responsibilities:
• Take phone orders from health care professionals who are arranging for their new patients to get supplies.
• Taking phone orders from patients who need refills of supplies.
• Conducting outbound calls to patients and physicians’ offices
• Answering patient inquiries, using multiple system resources to research and resolve various issues.
• Updating patient accounts as necessary
• Building strong long-lasting relationships with health care professionals and patients
• Other Duties as assigned

Qualifications:
2-4 years of reception desk and administrative experience at a medium-to-large company
Proficient in Microsoft Office (Outlook, Word, PowerPoint, and Excel).
The successful candidate will be confident, poised, work well under pressure situations and demonstrate excellent organization skills.

Work Schedule
8:00am-5:00pm, M-F. Minimal OT may be requested.
