Title: Administrative Staff Assistant
Duration: Temporary 6 months with possible extension
Hours: Monday through Friday 8:30 am - 5:00 pm
Main Job Duties:

  • Provide confidential executive assistance to the Department.
  • Coordinates office calendars and meetings, scheduling travel arrangements, managing phone calls and messages, routing calls to appropriate individuals and assisting with general administrative responsibilities.
  • Provide assistance to all guests entering and exiting through the Department's Lobby. Duties include clear calendar of dates, time and coverage by staff during all office hours.
  • Prepare in HCM/Payroll and I9 Preparer.
  • Main contact for Department’s Special Initiatives. Liaison for all conferences and major events. Responsible for securing venue, attendee list, vendors and processing invoices timely. Coordinate contractor conferences regarding attendees, vendor, venue and all related matters to successfully meet expectations.
  • Maintain inventory of office supplies.
  • Other duties as assigned.
