Adecco is looking for a Bilingual Customer Service / Administrative Assistant Department:

 

Responsible for the daily review of customer invoices along with general administrative tasks such as the answering of phones, distribution of mail and other duties.

Processes and manages customer orders, communicating status with dealers and sales team.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

Process dealer orders, Credit / Debit Memos, Price Quotes utilizing SAP

Understanding of Order Entry Process and policies

Obtain product availability information for dealers from purchasing / planning

Expedite and track orders for dealers by working with various warehouse and scheduling personnel

Assist dealers in placing orders and following through order completion

Maintain and update dealer account information as needed

Review orders to ensure accuracy, resolve discrepancies and communicate internally as appropriate

Coordinate orders according to warehouse availability and schedule

Answer incoming phones promptly and politely, routing calls to the appropriate party.

Process and email/mail customer invoices using SAP and MS Office

General clerical duties such as photocopying, fax and mailing.

Maintain office supply inventory

Producing / analyzing reports as needed 

Provide Administrative support as needed

 

EDUCATION, SKILLS AND EXPERIENCE Education/Experience:

 

Associate Degree (A.A.) from a two-year college in a related field; 1-3 years of relevant work experience or equivalent combination of education and experience.

 

Required Skills: Bilingual, Spanish and English with ability to read, write and speak in a professional business manner

Knowledge of Order Entry Process and procedures

Ability to use various computer programs including but not limited to: Microsoft Office, Excel and ERP software.

Ability to work well on a team or independently

Ability to respond promptly to internal and external inquiries by utilizing phone, messaging, fax machines and voicemail

Ability to keep accurate information records

Excellent interpersonal and communication skills.

Ability to work with all levels of internal management and staff as well as outside clients and vendors.

Ability to communicate in a clear and effective manner both written and oral

Effectively handle difficult or sensitive situations

Ability to identify ways to exceed expectations by improving quality, value and service

Preferred Skills:

Working knowledge of SAP highly desired.
