Administrative Coordinator Services to be provided in support of the Americas (AMR) Retail Real Estate Team. Service responsibilities will include organizing travel end to end for Directors and Sr. Real Estate Managers, scheduling/calendar management, meeting preparation/support, and administration of expense reports and tracking payments to vendors in accordance with approved budgets.

Responsibilities: Assist in the administrative tasks such as calendar management, travel arrangements, expense reports, document control. Travel and Expense Administration

-Schedule all team related travel in accordance with Apple Travel and Expense Policy

-Provide administrative support of any necessary travel changes, cancelations, etc. in conjunction with Apple¿s Travel Department.

-Process expense reports (compile receipts, allocate properly, seek approvals) in accordance with Apple Travel and Expense Policy. Draft expense reports are to be processed within 2 days business days of receipt of expenses and submitted back to requesting individual for review and approval. 

-Review, process and track Invoice Approval Request for Client's 3rd party vendors. Upon receipt of an Invoice Approval Request, a response confirming receipt and/or action is required to either DEV Invoices Team or Real Estate Geo Leadership within 5 business days.

-Processing of Purchase Orders upon request of Real Estate Geo Leadership Calendar Coordination

-Ongoing management and coordination of the following Calendars within iCal which may require formal communication and follow up with additional attendees, management of required telephone or AV equipment and room reservations.

-Daily support for Real Estate Geo-Leadership


-Coordinating strategic project scheduling as requested by Real Estate Geo Leadership

-Team Off-Sites on a quarterly basis

-Updates to RE-Dev Calendar on a weekly basis Meeting Coordinating (agenda, conference room, F&B, materials, notes, clean-up)

-Weekly meetings with AMR Real Estate Geo-Leadership

-Bi-Weekly with AMR Real Estate Coordinators

-Weekly with AMR Real Estate team

-Monthly with Clien'ts Retail's Senior Market Directors

-Quarterly with Open Realty Advisors

-Bi-Annual Fleet Review

-Landlord Portfolio Reviews Reports

-Provide a final version of the following reports on a weekly basis. Task will include notification of when updates are due from contributing parties, along with additional communication/follow up and reviewing updates for accuracy.

-Look Ahead (Weekly - Monday 5pm PST)

-Strategic Replacement Plan (Weekly by Tuesday 5pm PST)

-Other reports are requested by Real Estate Geo Leadership Client's Systems

-Be able to independently operate within the following client's systems:



-Get There Required Qualifications: Excellent organizational and problem solving skills Excellent communication skills (both verbal and written) Must be a self starter who is comfortable working independently
