Client Specialist

Primary responsibilities:

Greeting clients while delivering and accepting documents
Answer phones, book appointments, answer basic tax and procedural questions using scripts
Manage general office email
Follow data security policies and maintain client confidentiality

Secondary responsibilities:

Maintain office appearance
Assemble packets, manage supplies
Filing, scan documents, utilize OCR entry automation
Prepare bank deposits, deliver to the bank as needed
Keep voicemail, email, and online sites up-to-date with office schedule changes
Handling incoming and outgoing mail
Opening and closing office as needed

In addition, high volume project coordination is a key piece of this position. You will be proactively contacting clients to request documents and set appointments, and follow up as needed. Set up project in workflow system, assign to client team, set internal due dates. Utilize workflow management tools to track work through the office. Invoice completed work through Square Invoicing, follow up on unpaid invoices. Participate in team meetings and trainings. As time allows, assist with data entry, tax, and/or administrative projects as assigned.

Preferred:
Experience in a tax preparation environment
