Construction Administrator, Tenant and Capital Improvements

Summary

The Construction Administrator is responsible for supporting the VP of Construction and assisting the Construction Management staff in the reporting, managing, and tracking requirements of construction projects.

Direct Responsibilities
• Analyze executed leases for requirements pertinent to Construction Management.
• Produce CEA (Capital Expense Approval) forms for projects managed by Construction Management.
• Revise CEA forms as needed through the evolution of a project.
• Setup and manage cost sheets for tracking project invoices and cost-to-date.
• Setup vendors in accounts payable.
• Prepare and process construction invoices for payment. This process includes reviewing for accuracy, assigning job codes, verifying lien waivers and certificates of insurance, and obtaining the appropriate approvals.
• Review contractor contracts for accuracy and consistency with the project budget, gain necessary approvals and signatures, and distribute executed documents to the appropriate parties.
• Review, prepare, and process tenant’s requests for reimbursement or rent credits.
• Prepare and distribute tenant billings in accordance with lease documents.
• Collect and review project closeout documentation for accuracy. Hold final payment until closeout documents are in order and coordinate with GCs, as necessary.
• Prepare project reports for property team and staff meetings.
• Prepare and assist CMs with maintaining cost projection reports as needed.
• Maintain project files – both paper and electronic.
• Maintain building information for all properties (i.e. ownership entity, insurance requirements, building standards, and rules and regulations)

Supporting Responsibilities
• Assist VP and the Construction Management Team with various administrative functions.
• Assist CMs with generating and distributing invitations to bid.
• Assist CMs with preparing bid summaries.
• Assist CMs and Chief Engineers with assembling drawing review comments.
Accountabilities
• The Construction Administrator is accountable for the successful completion of those duties and activities identified above as well as those initiated by the VP of construction.

Reporting Relationships and Interfaces
Reporting Relationships:
• The Construction Administrator reports to the Vice President of Construction.
Internal Interfaces:
• Construction Managers, Accounting, and Property Management, to support accounting and administrative functions pertaining to tenant improvements, capital improvements.
External Interfaces:
• Tenants, contractors, architects, and engineers – to coordinate with and secure necessary documents regarding invoicing, contracts, change orders, etc., as needed to support the Construction Management Team.

Required Skills and Qualifications
• Accounting and administrative experience in the construction industry.
• Experience using Yardi software (preferred)
• Strong organizational skills
• Technical proficiency with Microsoft Office programs.
• Problem solving ability.
• Strong work ethic, character, and ability to work with a variety of personality types
