Construction Assistant

Adecco is assisting a local client in their search for a Construction Assistant in Jacksonville, FL. This is a full-time, temporary to permanent opportunity with a construction & renovation firm for commercial, healthcare, institutional, and industrial clients. The Construction Assistant is responsible for performing administrative duties for assigned Project Managers, Assistant Project Managers, Superintendent(s) and provide general office assistance as required.   • Perform administrative tasks for Construction team.
  • Be aware of all regularly scheduled meetings for your manager(s) and forward a clean draft of Agenda the day prior to the meeting for their updates.
  • Set up and maintain new projects in Viewpoint data base.
  • Ensure all filing for Construction team projects is completed on a weekly basis. Maintain consistent file naming / saving convention protocols for all electronic files for each project.
  • Gather information necessary for Project Manager to complete monthly applications for payment on or about the 25th of each month.  Be aware of any contract requirements that pertain to the application for payment for that project, i.e. when retainage may be reduced, waivers are needed, etc.
  • Track receivables to ensure collection by the 15th of the following month or per contract terms.  Communicate with the owner/architect (or approval agent) in a professional and courteous manner when following up for status on outstanding pay applications.
  • Contact Subcontractors and Vendors as necessary for follow up on any outstanding items.  Support Accounting with collection of documents required to release checks to Subcontractors.
  • Issue Subcontracts and Purchase Orders and ensure Subcontracts and Purchase Orders are signed within seven (7) days after being delivered. 
  • Process submittals and RFI’s through Project Team (ie Architects, Owners). Ensure responses are received in a timely manner
  • Maintain project drawings. Log and issue revisions.
  • Huddle daily with Project Manager as needed
  • Work directly with the Superintendent in the field ensuring they current drawings. 
  • Typing –Minimum net typing speed of 50 words per minute.
  • Spreadsheets - Using a computer application to enter, manipulate, and format text and numerical data; insert, delete, and manipulate cells, rows, and columns.
  • Internet - Navigating the Internet to find information, including the ability to open and configure standard browsers; use searches, hypertext references, and transfer protocols; and send and retrieve e-mail.
  • Word Processing - Using a computer application to type text, insert pictures, format, edit, print, save, and retrieve word processing documents
  • Data Base - Using a computer application to manage information, including editing simple databases, inputting data, retrieving specific records, and creating reports to communicate the information.
  • Excellent editing skills (familiar with proper sentence structure, grammar, varied vocabulary, spelling, style, consistency, and attention to detail).
  • Time Management – Ability to manage one's own time efficiently.
  • Construction Terminology – Have working knowledge of commercial construction terms preferred.
This position pays 17.00-19.00 per hour.
