The client is a fully integrated, privately held, real estate investment company focusing on commercial real estate assets and real estate financial instruments in the major markets along the mid-Atlantic.


This position is primarily responsible for ensuring the smooth and compliant administration of the construction and engineering departments.
This position is critical to providing reporting, tracking and support needed to sustain and grow construction projects across the portfolio.

Review leases, loan documents and management agreements to determine construction costs and requirements
Set up job codes
Issue construction contracts & track by job
Responsible for having contracts/proposals signed, tracked and returned to vendor & saved in Honest Buildings system
Track W9s & obtain required Certificates of Insurance (COIs) from vendors & keep updated
Review and approve lien releases
Expedite permit processing so permit checks are cut quickly & sent to appropriate expeditor
Process construction invoices in rCash
Reconcile design & construction vendor invoices
Review/Revise job budgets as needed
Process tenant improvement invoices and correspond with tenants for required documents
Respond to all tenant & vendor emails inquiring on processes or on status of payments
Issue/process/track expense reports for construction/engineering managers
Review all construction draw packages & insert any required docs. Work with accounting for monthly draw process
Receive invoices & review with property management for approval
Track monthly fees and reconcile monthly variances
Generate construction folders & file all original executed contracts


Review Building Engines system to ensure on a daily basis to ensure customer tickets are being resolved in a timely manner and tickets closed out properly
Issue service contracts and prep for execution/signature
Set up new vendor W9s
Ensure collection, tracking and verification that contracted vendors and contractors are in compliance with insurance requirements
Maintain records of approvals, engineering plans, permits, etc.
Process all over-time engineering invoices associated with construction work & correspond with tenants and/or property management team to make them aware of these costs.
Track certification and training records (in particular safety trainings) of engineers ensuring all training is up to date and certifications/licenses are unexpired
Track, collect and file monthly engineer audits
Order uniforms for engineers and reconcile/allocate the bills.
Assist in special projects as needed.
Schedule training sessions and meetings for engineering team
