Responsibilities of this position include, but are not limited to:

  • New account customer set up in AS400
  • Maintenance of customer accounts in AS400
  • Processing of EOS orders entered by sales team via AS400, including but not limited to:
    • Comparison of EOS order to Customer PO to check for discrepancies which must be resolved
    • Verifies that all order information has applied correctly, such as special instructions, discounts, promotion codes, shipping information, credit verification, etc., and applies to order accordingly.  Works to troubleshoot any issues as far as possible and escalate to appropriate manager when needed.
    • Confirmations orders in our system leading to creation of Pick Ticket to warehouse
    • Follow up on orders as needed based upon daily glassworks report
  • If required by customer, processing of EDI orders transmitted into EOS
  • Invoicing orders upon shipment, including addition of the freight cost.  Verifying the information is correct:  items sold, amounts due, credit terms, dates of shipment, and necessary codes to generate invoice
    • Prints invoices and/or transmits them by mail or email to customers
  • Review of weekly backlog report and adjusting orders as needed depending on stock arrivals
  • Customer credit research and processing for tastings, breakage, returns etc.
  • Assist the Credits and Collections department in chargeback research when requested
  • Answer the main phone line/customer service hotline on a rotational basis, assisting customers with inquiries or forwarding to specific contacts when needed
  • Additional support during promotion periods, including but not limited to, customer phone calls
  • If required by customer, performing needed functions in customer portal (ex. uploading of invoice)
  • Assist in staffing our biannual warehouse sales
  • Additional duties as assigned by Management

CSA will be expected to:

  • Learn and understand the compliance for their specific customers
  • Understand our pricing structure, both standard and customer specific if applicable
  • Understand and enforce our company policies and procedures
  • Develop and maintain regular and clear communication with their regional territory manager (RTM)
  • Have a general understanding of our products
  • Maintain daily their CSA specific inbox, as well as daily checks on shared inboxes such as “AllClaims” and “Orders”
  • Conduct themselves in a professional manner both via phone and via email


Qualifications:

  • 2- 5 years related customer service experience
  • Able to work in a very fast paced environment
  • Must be detail oriented and able to balance multiple tasks
  • Must be computer proficient in Microsoft office applications
  • AS400 and EDI experience a plus
