Responsibilities for this Department Assistant job include, but are not limited to:

  • Answer incoming phone calls in a professional and courteous manner for department.
  • Maintain schedules and calendars
  • Coordinate routine matters, conference calls, meetings, travel and various other assignments
  • Process incoming and outgoing mail and packages for the department
  • Provide backup to other administrative support
  • Process invoices and maintain records for budget tracking
  • Track departmental expenses and maintain expense records
  • Run and distribute reports as needed
  • Maintain department time (e.g. vacation, schedules, and other paid time off.)
  • Maintain department compliance on initiatives as appropriate
  • Assist in the coordination of department activities as needed.

Qualifications for this Department Assistant job:

  • Proficient in Microsoft Office applications: Word, PowerPoint, Outlook, Excel
  • Must have min 1-2 years’ experience as an administrative assistant
  • Strong written and oral communication.
  • Must be organized and detail orientated
  • Able to handle routine tasks and resolve issues with a high level of independence and initiative
  • Able to handle confidential and sensitive information appropriately

Shift/Hours:          8A – 5P
