Position Details:
Position: Department Coordinator II
Shifts: Flex
Pay rate: $18.00/hour
Location: Bridgewater, NJ 08876

JOB SUMMARY
Managing registration and attendee communications for concurrent programs and events, including:
o Reviewing and editing contact information in event management system
o Distributing registration confirmations and other pre-meeting communications
o Serving as primary liaison for attendee questions and follow up via phone and email
•Providing “white glove” service to customers at all times and implementing ways to enhance service to our customers
•Assisting Associate Event Program Manager on all aspects of program planning, organizing, implementation and post-event tasks as assigned to ensure successful outcome. Tasks include but are not limited to:
o Involvement in managing a hotel Rooming List
o Tracking and reporting travel arrangements
o Preparing meeting materials
o Testing event sites and proofreading documents to ensure accuracy
o Standard reporting
o Logging customer satisfaction survey results
o Post-event attendance reconciliation and reporting
o Participating in planning and post-event debrief meetings
• Working closely with Health Care Compliance to ensure adherence to AdvaMed Code of Ethics, Physicians Payment Sunshine Act requirements and Corporate guidelines pertaining to interactions with and exchanges of value for HCP’s



Minimum Qualifications:
High school diploma 3-5 yrs Minimum of 3 years applicable experience. At least 1 year experience
in medical education/healthcare related meeting planning.


Requirements and Working Conditions:
Incumbents in this class are subject to extended periods of sitting, standing and walking, vision to monitor, and moderate noise levels. Work is performed in an office environment. This is a 6 month position with the potential for extension. Candidate would need to be available to work on incoming requests between 5-6 PM EST as needed.
