Job Details:

Hybrid Role requiring heavy ADMINISTRATIVE work along with an ANALYST function.

The role is within an IT/Application Development department, supporting Legal Affairs, Global Compliance and Corporate Real Estate. Primarily responsible supporting our client's Assistant Vice President(AVP), as well as, supporting three additional
project managers.

The successful candidiate will be looking to transition into Junior Business Systems Analyst position but be comfortable with Administrative work and take on additional tasks geared toward the Jr. BSA role. You must have a keen eye for detail (written communication: spelling, grammar, punctuation, formatting); positive attitude; be a team player, able to receive and apply feedback/guidance on tasks from multiple project leads. Proven Excel, (including pivot tables, consolidation of workbooks and simple formulas) and Powerpoint skills to create various project overviews, timelines, updates as well as SharePoint experience (managing document repository). There will be Heavy Outlook Calendar Management - Meeting Minutes (documenting meeting notes and action items, scheduling follow up calls, tracking action items/issues log activities.


Heavy calendar management including conference room reservations and catering
Attend meetings with AVP & Project Leads to document meeting minutes
Create and track action items based on meetings attended with AVP & Project Leads
Drafting and/or editing templates, dashboards and correspondence - heavy use of Excel for project dashboards, resource planning (including pivot table)
On-boarding new employees and consultants
Creating tickets with Help Desk for laptop issues or for general IT related issues
Ad-hoc project-related tasks
Develop PowerPoint Slides to support Project Leads - heavy use of Powerpoint for project overviews, timelines, updates
Assist with Business Requirements Gathering Sessions
Assist and help coordinate on Project Risks & mitigation plan
Consolidate Project Status reports for weekly Team Meetings
Maintain Asset inventory (Laptops, iPad's & iPhones)
Acts as a liaison between AVP and rest of the team and business stakeholders
Assist as needed in other Admin related activities within the organization


Excellent verbal and written communication skills
High school or higher educational background and/or related experience
Computer knowledgeable with proven experience with Microsoft Outlook, Excel and PowerPoint
SharePoint experience
Previous experience assisting high senior level management
Must work well under pressure
Exceptional time management skills; able to multi-task and prioritize tasks
Highly organized and confident working independently on tight deadlines
