As an executive partner you’ll join a team supporting a busy executive with a demanding schedule. Your important role providing excellent professional support keeps the organization in tune, and in top form.

 

With your positive and professional attitude, you’ll handle travel and meeting scheduling, and coordinating on and off-site activities.  You’ll also be responsible for many other administrative needs including expense reporting, travel, and additional projects as assigned.

 

WHAT’S THE JOB?

You’ll manage complex, multi-time zone travel and meeting scheduling as well as coordinating off site activities. Your ability to manage confidential information, apply excellent attention to detail, and work with a sense of urgency will make an important difference. The role is responsible for all administrative needs including managing calendar, expense reporting, extensive international travel, document approval processing and additional projects as assigned.

  • Pro-active complex calendar management; Gatekeeper coordinating internal/external meetings
  • Drive executive staff meetings
  • Deck consolidation, agenda, actions, follow up
  • Execute and drive org-specific projects with high attention to detail on event planning
  • All Hands, Town Halls
  • High degree of initiative and ability to anticipate needs
  • Sound decision-making with minimal direction
  • Arrange complex, multi-leg international and domestic travel
  • Pro-active tracking of all flight and ground transportation
  • Maintain travel and expense budget
  • Complete understanding of company policies and tools
  • Educate executives on policy and new procedures (spend limits, city caps)
  • Review/approve expense reports on behalf of executive
  • Process expense reports and reconcile against statements
  • Understanding of organizational structure
  • As this is a global organization, you’ll work across multiple geographic locations
  • Track commitments to ensure executive is on track to meet them
  • Maintains confidentiality of all sensitive or proprietary information
  • Generate and format presentations
  • Assists extended team members with administrative duties as needed
  • Mentor other executive administrative partners and admin assistants in support center

  • WHAT’S REQUIRED?

  • Associates Degree or combined 5+ years of experience supporting executives in a large corporate environment
  • Intermediate, to expert technical skills a must (MS Office 365 Suite)

  • Previous experience supporting multiple executives in a large, global, corporate environment
  • Expert skills in PowerPoint, Publisher, Visio, etc.
  • Bachelor’s degree
