LOCATION: Newton, MA
DURATION: 3+ month
Pay Rate: $20.00 per hour / Adecco W2

Work Schedule: 8:30am–4:30pm or 9:00am–5:00pm, M-F

Position Summary
Provides support to our client’s President’s Executive Assistant (EA) and is responsible for managing the President and executive team's administrative needs to ensure his/her time is effectively allocated and that he/she has the information and materials needed to advance priorities. Will also provide a comprehensive range of support services assisting the Executive Assistant to the Executive Team with:

Calendar, Travel & Expense Management (70%)
• Work in tandem with EA to schedule meetings and meeting requests.
• Travel planning and coordination
• Itinerary Creation
• Prepare weekly expense reports (American Express/Concur)
• Invoice and purchase order management (SAP)
Social Media (10%)
• Ideas for posting in internal Social Media: Chatter
Offsite meeting research/planning (10%)
• Plan retreats, off-sites, meetings, and other department-related projects and events.
• Plan & Organize team building activities for the teams rolling up to the executive, organize site visits, annual retreats and other internal activities and meetings
• Obtain competitive pricing.
Logistical and Administrative Support (10%)
• Primary assistance to Presidents Executive Assistant.
• Formatting PowerPoint presentations
• Coordinates meetings
• Interacting with senior leadership team members and their support staff.

Qualifications
• Associates Degree preferred or commensurate experience in an Administrative role required
• Proficient in Microsoft Outlook, Word, Excel, PowerPoint, Outlook, and the Internet
• Strong written and verbal communications skills
• Strong project management skills preferred
• Ability to work well in a team environment across geographies
• Proven ability to independently manage many changing tasks simultaneously
• Ability to manage own and leaders’ priorities with minimal guidance
• Demonstrates superior conference call and meeting etiquette
• Builds and maintains excellent relationships with internal and external stakeholders
• Maintains punctual, regular and predictable attendance
• Works collaboratively in a team environment with a spirit of cooperation and as a relationship builder
• Displays engaging interpersonal skills including the ability to think and act strategically, provide sound judgment, and provide a positive and energetic attitude
• Provides systematic and dependable follow up, as well as a high level of organization and preparedness
• Demonstrate a high degree of customer service and relationship building abilities
• Ability to prioritize and to multi-task in a fast paced environment, manage several projects simultaneously, meet deadlines, and communicate potential conflicts to manager
• Ability to work independently as well as part of an extended, cross-functional team
• Ability to be an effective team member and display initiative and flexibility in team goal orientation in an ever changing environment
• Ability to be flexible and change with environment, industry, and business demands
