Executive Adminstrator

Adecco is assisting a local client recruiting for an Executive Administrator in Cincinnati, Ohio. The Executive Administrator job is a temporary opportunity!

 

The Executive Adminstrator job requires the candidate to provide the highest level of support to the CEO, Board of Directors and overall organization. Serve as the primary point of contact between the CEO, Board, internal team and external partners. Ensure the administrative operations of the organization are running efficiently. Responsibilities for the Executive Administrator job include but are not limited to:

  • Create drafts of all CEO correspondence, reports and presentations for CEO review.
  • Schedule all board and committee meetings, maintain board listing and prepare all materials for board meetings.
  • Manage calendar, schedule meetings for CEO and enter as appropriate into customer relationship database (salesforce)
  • Book and confirm travel arrangements, create itinerary for CEO following company travel policies and procedures.
  • Process monthly CEO expense reports with all credit card/cash receipts and submit to accounting.
  • Serves as the Administrator for Google, the company’s email, distribution list, Slack, Facebook, Workplace, Box.com Concur and Gallup Strengthsfinder and as a point of contact to assist/train other team members on these platforms as needed.
  • Facilitate the Grants Management for the company’s operational and fiscal agent funding
  • Assist with the overall building/facility needs including managing Cincinnati Bell contract WI-FI, IT vendors, for the company and Union Hall.
  • Manage 401(k) administration with Greater Cincinnati Regional Chamber and Fifth Third Bank.
  • Manage supplies including thank you cards and envelopes, business cards, printing needs, nametags.
  • Serves as the company’s liaison to the Greater Cincinnati Regional Chamber.
  • Manage the company’s intern/leadership experience.
  • Proactively develop relationships with key internal/external client contacts to be the “go-to” team resource to either answer questions or direct to the appropriate person.
  • Proactively collaborate with internal team members including CFO and accounting team to recommend more cost-effective solutions, share knowledge of streamlining processes and procedures.
  • Effectively able to handle conflicting priorities in a professional, solution – oriented manner including organizing own workflow and working with team members to accomplish tasks and balance workloads.

 

Candidates must meet the following requirements to be considered for the Executive Administrator job:

  • At least 3 years of experience as an executive assistant or office manager.
  • Strong written and oral communication skills.
  • A team player who can effectively communicate with all levels of the organization.
  • The ability to work in a face-pace work environment.
  • Excellent attention to detail, time management, prioritization, multitasking, organizational skills with a commitment to quality.
  • Demonstrates good judgment when dealing with sensitive information.
  • Able to anticipate and respond to changing situations.
  • Proficient in Google Calendar, Box.com, Slack, Facebook, Workplace, Concur, Microsoft Office (Word, Excel, PowerPoint) and Salesforce.
