Executive Assistant

Adecco is assisting local clients in the fashion, financial and hospitality industries with their need to hire Executive Assistants for 6 months+ temporary or temp to permanent employment.

Job Description:

• Phone coverage and extensive diary management consisting of coordinating email and calendar as directed; Handling conference/meeting/event coordination; etc. Liaising with group heads and other high-profile individuals in helping to handle schedules
• Preparation and recording of all expense reports and reimbursements; understand and align with all policies, guidelines, and procedures for expense processing; complete monthly reconciliations of principal’s Amex statements, vendor invoices
• Confirming meetings to internal and external parties
• Arranging conference calls/video conference bookings
• Domestic and international travel planning/car booking/preparation of itineraries/Visa and passport applications as well as lead with roadshow coordinators in NY and London in accordance with IWM policy, expense guidelines.
• Preparing hard copy presentation materials and supporting documents for internal/external meetings
• Coordinate & ensure update of G&E log
• Onboard new professionals (set-up PC, phones, etc)
• Extensive client interaction
• Maintain various Distribution Lists
• Provide back-up admin support to group head’s admin
• Management of office supplies for group

• The ability to speak clearly and in a professional manner as this role requires speaking with both colleagues and clients in person, electronically, and over the phone.
• Strong administration, analytical skills, and attention to detail (low error rates e.g. spelling, etc.)

• Display strong written and verbal analytical skills – you will be communicating directly with our key clients via email and telephone. Proofreading and spell checking are a requirement.
• Demonstrate good and thorough knowledge of Microsoft outlook/office.

Desired skills and qualifications:
• Experience in a related environment is strongly preferred.
• Prior experience working with/for senior-level officers is helpful.
