Executive Assistant, Construction/Development-
Commercial Construction Experience highly preferred.

Act as a liaison to project management concerning changes in a project scope, cost, schedule and DOB filings as projects close out.
• Assist Director, Construction and Design with budgeting, scope of work definition, contracts, and bid packages.
• Assist with development of projects.
• Track solicitation and awarding of contracts.
• Knowledge of standard concepts, practices, and procedures in construction trades.
• Responsible for attending project site meetings and the recording / distribution of meeting notes.
• Ensure compliance with all accounting procedures and governance guidelines.
• Examine invoices from contractors/vendors prior to payment, and coordinate with site staff to confirm that services have been performed prior to payment.
• Process paperwork in a timely manner including contracts, change orders, correspondence, invoices, punch lists and close out documentation.
• Create Job Cost Report for individual projects on a monthly basis and supply job costs information to Director.
• Modify budget template to reflect contract costs and any special construction needs.

Requires a minimum of two -fours years experience in the construction field.
Knowledge of commercial construction, building operations, NYC DOB.
A degree or certificate or additional training in construction.
Proficiency in MS Office, MS Project ➢ Decision Making and Authority
