Adecco is currently assisting a local Non-Profit in their search to fill an Executive Assistant position in Duluth, MN. This is a fulltime, temporary-to-hire opportunity. As an Executive Assistant you will be responsible for performing managerial and administrative support to high level executives, and a variety of duties requiring independent analysis and judgment. Responsibilities for this Executive Assistant position include:


  • Provide administrative assistance to the President and the Development Officer of the organization

  • Assist in the development process by creating and maintaining computerized records, including FIMS profiles, funds, and other tasks as determined by the supervisor

  • Prepare numerous development reports and records, grant applications, and grant reports and records

  • Monitor and create development record keeping and reporting, including pledge reminders, and to obtain and maintain reports required from donors, both individual and organizational

  • Prepare correspondence, reports, proposals, meeting notices, meeting agendas, meeting minutes, press releases, flyers, brochures, committee lists, and any other necessary documents

  • Enter and/or proof and process daily contributions to ensure that all donations are appropriately recorded and acknowledged, and to enter other computer data as necessary

  • Process financial documents, including outgoing checks, and other reports

  • Originate letters, memos, and other documents

  • Photocopy and scan meeting materials, reports, proposals, and any other necessary documents

  • Plan, schedule, and prepare for major events, meetings, and appointments, including the creation of donor materials and packets

  • Create and maintain filing systems as necessary, and to maintain office records and supplies

  • Handle a busy telephone system and graciously greet members of the public

  • Help and support volunteers and orient, train, and work closely with the Administrative Assistant

  • Handle the pressures of a busy, growing office

  • Develop, recommend, and implement policies and procedures for efficient office operation

  • Complete other tasks as assigned



  • Qualifications:


  • Ability to learn quickly and display critical thinking skills

  • Strong attention to detail; ability to perform multiple tasks with high level of accuracy

  • Strong communication skills, both written and oral

  • Ability to work independently and as a part of a team in a fast paced work environment

  • Excellent computer skills and experience: proficiency in MS Office products (excel, word, outlook), data base management experience, advanced personal
    computer skills including email, contacts, calendaring, database, mail merge

  • Proficiency with web-based data or content management systems (website CMS, development software) strongly preferred

  • Data entry skills with high level of accuracy

  • Strong organizational skills

  • Proven and demonstrated superior customer service skills

  • High school diploma with at least 5 years of relevant work experience in general office experience required; Bachelor's Degree and relevant work experience in philanthropy or the non-profit sector is strongly preferred

  • Executive Assistant and/or Development Assistant experience highly preferred

  • Project management skills and ability to demonstrate initiative and follow-up on an ongoing basis

  • High level of analytic skill, ability to identify and report on trends

  • Ability to deal with problems involving several concrete variables and standardized situations; ability to be solution-based

  • Excellent time management skills

  • Proven ability to take initiative, work independently and collaborate with cross functional team

  • Confident and courteous manner in frequent contacts with leaders of business and professional community



  • This is a fulltime position. Hours for this position will be 8:30 AM to 5:00 PM, with a half hour lunch, with occasional exceptions for events or training
