Seeds Stewardship - The Executive Assistant Global Seeds Stewardship provides effective information management support to the Head of Global Seeds Stewardship and the global stewardship team.

Executive Assistant of Seeds Stewardship Global Head -
Provides all aspects of administrative support to the Global Head of Stewardship by arranging meetings, calls, taking minutes and drafting agendas.

Information Management

Keeps the Seeds Global Intranet Portal for Stewardship and Sharepoint updated and provides support to keep the site active and to draw interest from employees in Stewardship activities and resources
Supports the Head of Stewardship with Power Point presentations and other communication tool development when relevant
Enhances the global team’s effectiveness by organizing / updating tools designed at sharing information (e.g. Sharepoint)
Organizes the Stewardship Leadership and Global Team Meetings as well as cross-functional Lync calls
Supports the Global Training Manager in tool development and training administration tasks

Administrative Functional Controlling

Supports the Head of Stewardship and the Seeds controllers in the management of the global Stewardship budget (7 mil Euro)
Through interaction with controllers, gives guidance to local entity controllers on the agreed budget and ensures that all local allocations are accurate
Assists the RTP based team in cost controlling and invoice management related to the legal entity
Set up all purchase orders through SAP, work with outside vendors and procurement to ensure correct documentation is submitted and arrange for all new vendors to be put into the system
Track and monitor all spend against Purchase Orders, approve and code all invoices or IPD through Your Docs
Enters all T&E expenses into the relevant tool for Head of Seeds Stewardship and checks T&E accounts for her reports prior to Head of Seeds Stewardship approving

Education Requirement(s):

Proven high performer in multitasking in a challenging high-pressure environment
At least 6-10 years’ work experience within an international and diverse company environment

Skill & Competency Requirements:

High organizational and relational ability with a high degree of autonomy
Good communication and presentation development skills
Good oral and writing skills in English, second foreign language a plus
High level of computer/IT skills: MS Word, MS PowerPoint, MS Excel, Time to Web, Lotus Notes, SAP, Photoshop, Lync, MS SharePoint

Travel Requirements: No travel
