Pay Rate:  25.00 – 26.00 per hour (Depending on experience)

  

JOB SUMMARY

The North America Expansion team is seeking a Temporary Executive assistant who wants to work in a fast-paced international e-commerce team. We need someone who is bright and motivated, with a proven history of high performance, to support 2 Directors and their international orgs in Seattle, WA. This is an amazing opportunity for someone who wants to get exposure to a broad and diverse international organization, regularly interact with our colleagues in Canada and Mexico. 

This role requires outstanding planning, time management, and organizational skills. Superior attention to detail and the ability to meet deadlines and juggle multiple request is critical. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior executives is imperative. The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, be able take effective action without needing to know the total picture. A good sense of humor is critical, as is the ability to be flexible and to change direction at a moment’s notice.

The ideal candidate will have experience working in a fast-paced environment, managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel. 

Key responsibilities include:
• Working closely with the leadership team as well as Finance, Recruiting, Facilities, other teams and other Executive Assistants to provide seamless support to the organization.
• Management of complex calendars and scheduling, to include annual planning for the org.
• Scheduling cost effective air/hotel/ground transportation and creating detailed travel itineraries.
• Management of team space, including moves and reconfigurations; maintain organizational charts. 
• Organize, execute, and assist with team activities (staff meeting agendas, all-hands meetings, on-sites/off-sites, and team social events).
• Act as a liaison for direct reports
• Track and help drive completion of key deliverables and follow up on outstanding items.
• Have fun at work and help others do the same.


BASIC QUALIFICATIONS
• 5+ years’ experience assisting at the executive level in a fast-paced environment.
• Strong analytical skills and demonstrated ability to improve processed 
• Experience supporting at least two or more executives simultaneously as well as a large team.
• Experience with space planning.
• Experience with travel coordination
• Strong computer skills; high proficiency in Microsoft Outlook and Word; Intermediate in Microsoft Excel, Visio and OneNote.

PREFERRED QUALIFICATIONS
• Bachelor’s degree preferred
• Ability to quickly learn organizational structure and objectives of the team
• Ability to reach with appropriate level of urgency to situations and events which require quick responses or turnaround
• Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines
• Excellent organization, planning, time management and creative problem-solving
• Positive, proactive and able to consistently exercise professional maturity and great judgment through discretion, confidentiality and planning.
• Proficient in Microsoft SharePoint, Visio and OneNote.
• Demonstrates passion and enthusiasm for retail business and the company vision.
• Demonstrated ability to prioritize and handle multiple assignments while maintaining a commitment to deadlines 
• Highly motivated who is able to work effectively with minimal supervision.
• Highly organized individual, able to implement organizational systems with meticulous attention to detail.
• Strong communication skills, team orientated philosophy, and problem solving skills.
• Ability to quickly learn quickly and a desire and aptitude for learning new concepts on the job.
