Pay Rate: $20.00 - 25.00/hour, depending on candidate experience

Length of Assignment:  5 months

Schedule: Mon-Fri 8:00am - 5:30pm


Description: JOB PURPOSE:

The purpose of this role is to provide the highest level of support to top executives through highly visible and confidential projects/activities, various demanding administrative responsibilities, and frequent interaction with a variety of internal and external clients. Will act daily as a representative and ambassador of company leadership. This requires high-level administrative skills, the ability to organize and coordinate a wide range of tasks, the ability to prioritize daily tasks, and a friendly and courteous personality, both in person and via phone. In addition, This position also serves as Community Affairs Coordinator. In this capacity, this person maintains charitable giving budget, oversees gift requests and disbursements in conjunction with the Foundation, and assists in communications, scheduling, recruiting and planning for employee volunteer events. This person also serves as a liaison to nonprofit and community groups partnering with. In this capacity, the position acts as an important bridge to the community, fosters community engagement, and helps maintain a positive, progressive image for the company.



Will assist the most senior management of the company. Applies and executes decisions related to the core business functions of the company. Develops relationships with key internal, enterprise, and external leaders and their administrative staff. Applies appropriate business protocols internally and externally to the company. Blend data, company policies and judgment to devise a range of workable solutions Balance multiple priorities by considering risk, importance, level of urgency, political impacts and other linkages Understands the key drivers affecting the Company and our clients within the broader business environment. Demonstrates ability to put emphasis on teamwork into practice through being a great team member and promoting cooperation within teams. Understands the work processes and provides relevant solutions. Help leaders and other team members resolve conflicts and issues Solicit a constant two-way flow of input and feedback from peers, colleagues, customers, and leaders Anticipate process, structural or political issues that could affect the success of our work Solve complex problems in your own and others fields, evaluating the risks and benefits Deliver messages to different stakeholders within the company Contact external clients to keep open and frequent communication, while constantly nurturing the relationship  Applies superior customer service at all times Analyzes needs beyond own responsibilities to understand the context for the current work in progress Will manage projects including: outline objectives, set timelines, discuss priorities and nature of deliverables Handles and manages daily appointments/meetings including use of an automated calendar management tools (e.g., Lotus Notes calendar).  Coordinates and plans domestic and international travel arrangements; coordinates and makes arrangements for internal and external conferences, meetings and events. Required skills/experience Looking for 8 or more years of superior administrative assistant experience or equivalent in a corporate setting. Must demonstrate initiative (pro-active mentality) Exhibit leadership and confidence  Excellent customer service focus Outstanding interpersonal and communication skills and the demonstrated ability to effectively interface with senior level personnel in the company and external to the company, both verbal and written  Ability to meet new challenges with an open mind and an optimistic response  Ability to effectively manage/coordinate simultaneous projects, and successfully prioritize multiple tasks with sound judgment  Ability to maintain a balanced budget  Ability to protect confidential and proprietary information of the company and act as a trusted advisor  Unwavering attention and adherence to the company's values and principles  Full working knowledge of the company structure, key personnel and organizational policies and procedures  Advanced skills in standardized software and hardware applications, including MS Word, Excel, PowerPoint and Lotus Notes  Must have the ability to on-board quickly and learn to leverage the internal resources to get the job accomplished. This includes people, processes, and systems. Desired skills/experience  Bachelor's Degree preferred.
