� Making appointments and updating schedule for V.P., HR and other HR team members
� Receiving and screening telephone calls and visitors
� Maintaining and updating confidential employee files including executive files
� Act as an administrator for the HRIS system, Paylocity
� Act as a back-up administrator for temporary employees hired through TargetCW
� Act as back-up to HR Representative for data entry of Employee Change Notices
� Act as internal customer service support for routine compensation, benefits, employment and employee relations questions and inquiries.
� Composing correspondence to routine issues on own initiative
� Opening and distributing incoming mail for Human Resources
� Continual update and distribution of company organization charts
� Coordination of Educational Reimbursement, Textbook Reimbursement, and Charity Match programs
� Preparation of expense reports through Concur for V.P. of HR and other team members as identified.
� Preparation of expense reports through Concur for the corporate American Express, including expenses for Corporate Events, Anniversary trips, Recruiting, etc.
� Arranging and coordinating group meetings for HR initiatives
� Assist with HR project-oriented tasks.
� Assist HR Manager with Leave of Absence documents and process
� Coordinating delivery of flowers to recognize births in employee families or to provide sympathy recognition for deaths in employee families or as appropriate, coordinating memorial donations to charitable organizations, of the employee�s choosing
� Coordinating details of corporate service award program to recognize employee milestone anniversaries with corporate mementos and ordering appropriate plaques; also oversees and monitors milestone anniversary trip program, including approving all employee trips through travel management bureau.
� Scheduling and coordinating details of the bimonthly company meetings, i.e., generation of email to appropriate personnel alerting them to their upcoming announcements, company wide meeting announcement, hospitality function, prepare draft agenda for review by HR VP
� Scheduling and coordinating quarterly HR Steering Committee and Quarterly Department Head meetings.
� Coordinating external requests, both verbal and written, for verification of employment of staff
� In conjunction with the other HR team members, plan and coordinate employee and company activities including Give Back with Backpacks
� Creating and updating human resource forms for electronic posting and employee/management usage
� Ordering departmental supplies
� Preparing routine departmental reports
� Managing Company holiday e-card process
� Scheduling biannual Education Fair
� Scheduling twice yearly 401(k) consults for employees
� Scheduling and Coordination of blood drive
� Special projects, i.e. preparation of various certificates for company functions
� Post announcements, new HR policies and other information on the company intranet
� Other appropriate duties as assigned.
