Executive Assistant

Job Duties and Responsibilities:

  • Gatekeeper of the CEO and executive team calendar’s and agendas
  • General administrative duties, including but not limited to planning and scheduling meetings and conferences, file and organizing mailings, coordinating domestic and international travel
  • Coordinating workflow with Executive team
  • Managing business pipeline
  • Excellent at managing creation and distribution of internal communications
  • Representing CEO in meetings with a high level of professionalism both internally and externally as needed
  • Maintaining strict level of confidentiality and appropriately handling sensitive information with tact and discretion
  • Lead and manage special projects on an as-needed basis
  • Type business letters, memorandums and other correspondence using Microsoft Office Software
  • Assist executive level team with ad-hoc requests
  • Coordinate all materials for meetings
  • Arrange corporate event details including catering and gifts as requested


Required Qualifications:

  • 5+ years of experience as an Executive Assistant, supporting C-level executives
  • Develop and sustain a level of professionalism among staff and clientele through superior communication skills, unquestioned integrity, experience and confidence
  • Skilled in managing relationships at all levels within the organization
  • Highly motivated, self-driven, solution and detail-oriented
  • Ability to work well under pressure and in an ever-changing environment
  • Ability to think independently and provide creative solutions
  • Strong desire to work in an entrepreneurial environment
  • Strong organizational, project management and problem-solving skills
  • Strong time management skills; ability to handle multiple concurrent projects and assignments with a high degree of accuracy and meet deadlines in a high-pressure, ambiguous environment
  • Advanced Microsoft office skills required
