Summary:

In this role, you'll bring exceptional administrative skills. You’ll also work with other members of the Executive team as needed in managing typical administrative tasks, as well as any key action items to help the team perform at their best. But it doesn’t end there.


Essential Responsibilities/Duties:
•Pull together itineraries for travel
•Calendar management and heavy meeting scheduling
•Expense report management
•Manage large volume of email traffic
•Work closely and effectively with the CEO/CFO to keep them well informed of upcoming commitments and responsibilities as well as having a sense of issues taking place in the environment and keeping them updated accordingly
•Coordinate events and meetings
•Organizing Executive Team off-sites, large and small on-site, lunch meetings and more
•Develop project management skills while assisting with event planning and coordination, as well as special tasks and requests that will allow for increased exposure and the ability to shine

Qualifications/Experience:
•3-5 or more years of senior administrative support experience, including experience supporting C-Level Executives
•Adept with travel coordination, expenses, calendars, message retrieval, and schedules
•Experience successfully working in a fast-paced environment with demanding and/or shifting deadlines
•Proven ability to prioritize conflicting needs; handle matters expeditiously, proactively and follows through on projects to successful completion with minimal oversight
•Ability to provide “gatekeeper” and “gateway” role for the CEO/CFO as appropriate
•Provide a bridge for smooth communication between the CEO and Executive team as well as other internal departments
•First-rate multi-tasking and problem-solving skills
•Impeccable verbal and written communication skills
•Excellent interpersonal skills and proven ability to build relationships with internal and external stakeholders at all levels
•Outstanding administrative skills, including but not limited to: filing, copying, compilation of presentation decks, scanning, answering phones, note taking, shipping/receiving mail, and related duties
•Strong computer skills: MS Office Suite, Excel, email and calendaring
•Excellent at maintaining confidential information
•Great listening skills; ability to sense and respond promptly employee needs
•A team player who’s both collaborative and able to work independently
•Someone with a positive attitude, who are engaging with a pleasant disposition
•Flexibility to provide support outside regular hours as/when needed
