Executive Coordinator

Adecco is assisting a local client in recruiting for an organized Executive Assistant in Davis, Ca.  This is for a long term, temp to hire opportunity that will give you valuable experience to enhance your career. As an Administrative Assistant you will perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers. Responsibilities for this Executive Assistant job include:

  • Maintain an orderly and presentable office
  • Answer phones/voicemail. Help manage client/vendor/sub relationships and communication.
  • Pick up plans and deliver to design team
  • Help design team prepare for intake and sales calls or proposal meetings
  • Process mail, deliveries, shipment tracking
  • Process faxes, copies, filing and archive filing
  • Keep office supplies, cleaning supplies, and all meeting essentials stocked
  • Contact property manager to address building issues
  • Help to maintain samples and literature library.
  • Attend and facilitate scheduled staff meetings
  • Coordinate recruitment efforts for new hires, write job descriptions
  • All onboarding and partial training for all new staff
  • Maintain referral list, update regularly, perform all lead screenings and schedule them for intake call with design team
  • Regularly update referral list to track potential clients and annual marketing reports
  • Lead tracking (database, contact cards, email list)
  • Correspond with leads and new clients
  • Organize and maintain all hard and electronic document filing, appropriately distribute documents to the appropriate data centers and staff
  • Track and move client contracts and documents from Lead Intake to Design, to Construction to the Warranty Meeting on the Shared Drive and BuilderTrend
  • Draft construction contracts and agreements, production files and warranty documents
  • Manage BuilderTrend profiles: set up, contracts, photos, contact information and billing client and internal viewing
  • Assist all staff in technical issues
  • Maintain all client communications and scheduling (intake, billing issues, coordinating post construction cleanings, photo shoots, etc...)
  • Serve as liaison between executives, design and production staff, subcontractors and vendors, clients, leads and public
  • Help draft and streamline Standard Operating Procedures



  • BA preferred
  •  2-4 years’ experience in a professional office setting
  • Interest in residential remodeling and a desire to learn about how to improve client experience through better built environments.
  • Excellent organization and communication skills, the ability to synthesize multiple perspectives and priorities, and the flexibility to adjust to changing requirements and scheduling. Ability to prioritize tasks and time management while balancing multiple projects of varying scope and size.
  • Ability to work independently as well as lead and work cooperatively in a team environment.
