Executive Secretary – Cary, NC
6 months (contract)
Monday – Friday
$19.50 / hr.

Seeking a dynamic Executive Assistant who will be responsible for enhancing our executive's effectiveness by providing information management support; representing the executive to others. This person provides executive support to the Global Executive and related staff (total number of 10) in a fast-paced, ever-changing environment; the position is within Global Technology Service organization.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The individual will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Specific Duties


Completes a broad variety of administrative tasks including: managing active calendar(s); completing expense reports; composing and preparing correspondence; arranging travel, itineraries, and agendas; Coordinates company/site meetings, visits, Town Hall presentations.


Researches, prioritizes, and follows up on incoming issues and concerns including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.


Provides a bridge for smooth communication between Supporting Executive Assistant to the Senior Vice President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.


Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects.


Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with strict deadline pressures. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks to enhance the business.


Proficiency in working collaboratively with other Executive Assistants and a mindset of doing what is best for the group – “whatever it takes” attitude.


Flexibility to back up other Executive Assistants when the need arises


Must be able to switch gears quickly and respond to constant interruptions.



Must Have:


HS Diploma or equivalent with a minimum 5 years of work experience in a corporate setting


Intermediate or greater level proficiency with: MS Word, Excel, Outlook and PowerPoint; WebEx, VTC equipment. Experience with various reporting system; Ariba, People Soft and Oracle


Strong computer and Internet research skills


Sensitivity to confidential matters and experience working in a fast-paced organization


Excellent verbal and written communication and grammatical skills


Must have a polished demeanor and ability to work with people at all levels of internal management and staff, outside clients and vendors


Ability to provide high quality, consistent services to the various leaders within the department and ability to manage multiple tasks / projects and deadlines simultaneously with meticulous attention to detail


Strong project management/coordination experience are necessary



Preferred:


Bachelor’s degree


2+ years of work experience in a corporate setting
